Operations & Funding Coordinator

Mothers Helpers is seeking an experienced, highly organised and proactive volunteer to take ownership of key operational and funding responsibilities within our growing national charity. Working closely with the Founder, the Volunteer Operations & Funding Manager will coordinate organisational systems, projects and volunteers, manage funding deadlines, and support the preparation of grant applications and accountability reports, with the central purpose of reducing the Founder’s operational and administrative workload.

This is a senior volunteer leadership role rather than a general administration position. We are looking for someone who can identify what needs to be done, establish effective systems, solve problems, follow up others and keep work moving without requiring close day-to-day supervision.

Key responsibilities will include:

  • Coordinating day-to-day operational priorities, projects and deadlines.
  • Developing and improving organisational systems and procedures.
  • Coordinating volunteers and following up delegated work.
  • Maintaining the funding calendar and monitoring application and reporting deadlines.
  • Preparing draft funding applications using existing organisational information and previous applications.
  • Drafting accountability reports and gathering the required statistics, financial information and service outcomes.
  • Liaising with staff and volunteers to obtain information needed for funding applications and reports.
  • Preparing agendas, action lists and progress updates for regular operations meetings.
  • Identifying tasks and responsibilities that can be removed from the Founder and delegated appropriately.
  • Supporting the overall sustainability and effective operation of Mothers Helpers.

Requirements:

The successful applicant will:

  • Have demonstrated experience coordinating multiple projects, responsibilities or workstreams.
  • Be exceptionally organised, reliable and able to prioritise competing deadlines.
  • Be confident taking ownership of work and making sensible decisions independently.
  • Have excellent written English and the ability to prepare clear, professional documents.
  • Be comfortable working with grant applications, funder reports, budgets, statistics and organisational information.
  • Be confident following people up and holding others accountable for agreed actions.
  • Have strong attention to detail and the ability to maintain accurate records.
  • Be able to create practical systems and improve inefficient processes.
  • Communicate clearly and professionally with staff, volunteers, funders and external stakeholders.
  • Be committed to the work of Mothers Helpers and supporting mothers experiencing maternal mental health challenges.
  • Be based in New Zealand and comfortable working remotely.

Previous grant-writing or nonprofit funding experience is strongly preferred. Applicants without direct funding experience may still be considered if they have strong professional writing, project coordination and analytical skills.

Time commitment:

This role requires a minimum commitment of approximately 15 hours per week for six months. Hours can be completed flexibly, although the successful applicant must be available for regular online meetings and responsive communication during the New Zealand working week.

Because this is a significant leadership role requiring continuity and organisational knowledge, we are seeking applicants who can commit reliably for the full six-month period. This is an unpaid volunteer position, and applicants should apply on the basis that no future paid employment can be guaranteed.
