Reception Ambassador

Key Responsibilities:

Reception Duties

  • Welcome and greet visitors, patients, and whānau with warmth and professionalism.
  • Answering phone calls and transferring the calls to the appropriate department/staff member.
  • Provide basic information about hospice services, facility locations, and general visitor guidance.
  • Manage incoming and outgoing mail and courier deliveries.
  • Maintain tidy, organised, and welcoming reception and waiting areas.
  • Assist with photocopying, scanning, and printing as required.
  • Notify relevant staff when visitors arrive.
  • Assist visitors and contractors with the sign-in process.

We achieve this by providing leading-edge hospice palliative care services to eligible individuals living with life-limiting illnesses, along with their families, caregivers, and communities across South and South-East Auckland. All our services are delivered at no direct cost to the user.
    To continue this important work, we rely heavily on the support of our volunteers.
    As a Volunteer Receptionist Ambassador, you will help create a safe, welcoming, and calm environment, ensuring every person who visits or contacts Tōtara Hospice feels valued, respected, and supported.

Requirements:

Skills and Attributes:

  • Strong administration and communication skills, ideally with experience in a reception environment.
  • Confident in handling phone calls.
  • Excellent written and spoken English communication skills.
  • Warm, friendly, and approachable manner.
  • Ability to manage sensitive and confidential information.
  • Comfortable interacting with people who may be experiencing grief or distress.
  • Basic computer skills (email, Microsoft Office, phone systems).

A Ministry of Justice background check is required for this role.

Time commitment:

Shifts available Wednesday, Thursday or Friday - choose 1 shift per week between 9:30am and 2pm (2-4 hour shift)
